Three Free Ways To Create a Custom Email Signature

If you have to communicate via email with leads, clients, and other stakeholders, having a custom email signature can:

  • Provide all of your contact information in an easily accessible way

  • Give off an impression of professionalism

  • Provide a discreet way to market your website and social links

I don’t know about you, but when I receive emails from unknown parties, I tend to immediately look at their domain name and then their signature, to help me to identify who they are and if it’s safe to continue communicating with them. An email signature can provide a means to briefly introduce yourself to new contacts.


Here are three free ways to create a custom email signature.


Canva


If you already have a Canva account, you can create a free custom design. If you don’t have Canva, you can try out Canva Pro account free for 30 days then downgrade to a free version when the trial is up or continue with the pro version. Here are a few tips for creating your custom email signature in Canva:

  • Try to set your custom dimensions around 400 pixels wide by 200 pixels high depending on how much text you are planning to add to the signature. If you want something smaller, you can try 300 pixels wide by 100 pixels high.

  • Make your fonts at least size 12. Similar to when you are typing a document, size 12 is the standard size for when fonts become a little easier to see.

  • Download your design as a png

  • If you are using the free version of Canva, create the design with a standard white background. The hex code for basic white is ##FFFFFF.

  • If you are using Canva Pro, you can download your design with a transparent background.

  • Try to use colors that are both desktop and mobile-friendly, just as you would use for your website.

Here are the steps you’ll need to take to add your design to your Gmail account on a windows desktop computer:

  1. Download your design from Canva

  2. Select the settings gear icon in the top right corner of Gmail

  3. Select “all settings”

  4. Select the “general” tab

  5. Scroll down to signatures

  6. Select “create new" if you don’t have a signature already. If you do have one, you can select “create new” to add the new one under your current one. I’d suggest not deleting your old signature until you are sure that you like your new design.

  7. Select the image option and upload the logo from your device

  8. Click on the image in the signature and select medium for the size

  9. Right under the area where you add the new signature, you’ll see “signature defaults”. Where it says “for new emails use” select the corresponding signature. Where it says “on reply/forward use” also select the corresponding signature. You can also select or leave the box unchecked that asks about inserting your signature before quoted text in replies.

  10. Scroll to the bottom of the page and save your changes

  11. Go to your inbox and compose a new email, then send it to yourself. See what your signature will look like for recipients on desktop and mobile. If you find that your fonts are too small, you can adjust them in Canva and reupload following the steps above. You can also try resizing the signature to large instead of small, but you may find that it’s too big. Try it out if you need to!


Hubspot


Hubspot really thinks of almost everything when it comes to CRM and Sales tools. They offer a free signature email generator that allows you to choose from 6 different templates. The result is a clean, polished-looking signature. The steps for pasting it into your email provider are provided once you create your signature. Go here to try it out:
